About this role

BlackRock Switzerland is seeking a highly experienced, proactive, and service-oriented Administrative Assistant to simultaneously support three senior leaders: the Country Head Switzerland, the Chairwoman Switzerland, and the Head of Institutional Capital Formation (ICF) Europe & Africa. This is a pivotal role for a seasoned professional who thrives in a fast-paced, international environment, demonstrates exceptional multitasking and prioritization skills, and is passionate about delivering excellence at the executive level.

Key responsibilities include:

  • Provide high-level administrative support to three senior executives simultaneously — the Country Manager, Chairwoman, and Head ICF — requiring exceptional multitasking, prioritization, and coordination skills
  • Independently own, coordinate, and manage three complex calendars, ensuring seamless scheduling across time zones and functions while proactively prioritizing meetings, deadlines, and time-sensitive tasks
  • Organize and oversee logistics for high-impact internal and external meetings and events, including Executive Committee meetings, Town Halls, offsites, and client engagements
  • Manage the Country Manager’s speaking engagement schedule
  • Plan and coordinate extensive domestic and international travel for all three executives, including last-minute changes and multi-leg itineraries
  • Monitor and manage the inboxes of the Country Manager and Head of ICF with utmost professionalism and discretion, ensuring critical items are flagged and followed up on promptly and appropriately
  • Handle all travel and expense reporting with accuracy and discretion
  • Provide on-the-ground support for visiting senior executives as needed
  • Build strong working relationships with administrative peers internally and externally across Switzerland, EMEA, and the US, sharing best practices and driving consistency
  • Support the Country Management Team with ad-hoc tasks, demonstrating flexibility and initiative

Knowledge/Experience/Skills/Competencies:

  • Proven track record of minimum of 10 years’ experience as an Administrative Assistant in an international setting, ideally within the financial industry, supporting senior executives at the C-suite level
  • Exceptional multitasking skills, with the ability to work independently and efficiently
  • Skilled in navigating high-volume workloads while maintaining Meticulous attention to detail
  • Proactive, flexible, and highly motivated with a strong sense of initiative
  • Excellent administrative, organizational, and communication skills
  • Fluency in both German and English (written and spoken)
  • Attention to detail and accuracy
  • Strong team player with excellent interpersonal skills
  • Absolute discretion and sound judgment in handling confidential information
  • Technologically proficient, with advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with Workday and CRM systems
