About this role

Key Responsibilities:

  • Administrative Support: Provide high-level administrative support to the Country Manager, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Serve as the primary point of contact between the Country Manager and internal/external stakeholders. Handle correspondence, emails, and phone calls professionally and promptly.
  • Event Planning: Assist in planning and coordinating events, conferences, and business functions as needed.
  • Office Management: Oversee office supplies and equipment, ensuring the office environment is well-maintained and functional.
  • Travel Coordination: Arrange travel itineraries, accommodations, and transportation for the Country Manager and visiting executives.
  • Support to Employees: Provide support to employees or groups in the firm. Use required business software applications to prepare correspondence, reports, minutes, etc. Receive, screen, and direct incoming calls, visitors, mail, and email. Arrange business travel, coordinate meeting arrangements, and track expenses.

Requirements:

  • Education: Degree in Administrative Assistance / Office Management or equivalent  
  • Experience: Minimum of 10 years of experience in an administrative or executive assistant role, preferably supporting senior management.
  • Language Skills: Proficiency in Portuguese and English is required. Knowledge of Spanish is a plus.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Communication Skills: Excellent verbal and written communication skills. Ability to interact effectively with diverse stakeholders.
  • Organizational Skills: Strong organizational and time management skills. Ability to prioritize tasks and meet deadlines.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Problem-Solving: Ability to anticipate needs, identify issues, and develop effective solutions.
  • Professionalism: Demonstrated professionalism, discretion, and confidentiality in handling sensitive information.

Preferred Qualifications:

  • Experience working in a multinational company.
  • Familiarity with the Brazilian business environment and culture.
  • Project management skills and experience.
